A hotel signature scent programme combines guest experience, equipment, housekeeping, procurement and brand control. The objective is not maximum intensity. It is a consistent, subtle impression at selected journey points, with documented approvals, operational ownership and a way to respond to discomfort or complaints.
Map the guest journey before choosing scent
Walk arrival, lobby, lift, corridor, guest room, spa and retail areas at different occupancy levels. Select only the zones where fragrance supports a clear purpose. Record ventilation, doors, ceiling height, dwell time and adjacent food or treatment areas; one setting cannot serve every space.
Write an operational olfactive brief
Translate brand values, architecture, location and desired mood into sensory contrasts and exclusions. Include intensity ceiling, restricted materials or associations, seasonal conditions and target zones. Evaluate coded directions on site because a sample strip in a meeting room does not predict HVAC distribution.
Choose delivery by space
Compare HVAC integration, localized dry-air diffusion and passive products according to coverage, maintenance, noise, security and building controls. Confirm equipment placement and access with facilities staff. Guest rooms may be better served by optional retail or amenity products than continuous ambient diffusion.
Pilot and measure
Run a limited-zone pilot across busy and quiet periods. Record settings, refill use, staff observations, guest feedback and complaint locations. Evaluate scent at entrances and transitions as well as near equipment. Adjust distribution before changing the fragrance itself; uneven delivery can make a balanced scent appear too weak or too strong.
Create programme governance
Assign owners for settings, refill stock, maintenance, incident response and change approval. Keep SDS and product documentation accessible. Train staff not to raise intensity informally. Review the programme after ventilation changes, renovation or repeated complaints, and offer fragrance-free handling for affected guests where practicable.
